This explains what Gold Standard Web LLC (“PoolChem Log”, “we”) collects when a pool service company uses PoolChem Log, why, how long we keep it, and how to have it deleted. In short: we use your Jobber data and your techs' logs only to run PoolChem Log for you, we don't sell anything, and you can ask us to delete it all at any time.
Two kinds of people, two roles
- Our customer is the pool service company that connects its Jobber account (the owner, office staff and techs who sign in). For their account details we decide what's collected, as described here.
- Homeowners (the pool company's clients) never sign up with us. We handle their details only on the pool company's behalf and on its instructions, as its service provider (a “processor”). The pool company decides whether homeowners get reports and is responsible for telling its clients how it handles their information. Homeowners with a question or request should contact their pool company; we'll help the company answer it, or you can email us and we'll pass it on.
What we collect
- From Jobber, when a company connects: the company name and time zone; team members' names, email addresses and whether they're active; clients' names, company names and email addresses; property addresses; and scheduled visits (date and time, who is assigned, job number and title, visit instructions, whether it's completed). We don't read invoices, quotes, payments, timesheets or expenses.
- What the company and its techs enter: pool details (gallons, sanitizer, surface, equipment, gate codes, notes), the company's chemical list and prices, water test readings, chemicals added, the visit checklist, tech notes and photos taken at the pool. Photos can show a homeowner's yard or equipment. We re-encode every photo on our servers, which removes location (GPS) and other hidden data from the file.
- Service reports: the homeowner email a report was sent to, when it was sent, and whether it was opened (a tiny image in the email) or the report link was clicked. Mail apps can load that image without a person reading the email, so opens are only a hint.
- Sign-in: the email address each team member signs in with, and a cookie that keeps them signed in. Sign-in links are stored only as a one-way fingerprint.
- Billing: handled by Stripe. We keep the Stripe customer and subscription ids and status; we never see or store card numbers.
- Waitlist: if you joined the waitlist, the name, email, company and details you gave us.
- Technical logs: basic request and error logs (time, page, error details) to keep the service running. We strip email addresses, sign-in details and tokens from them. No advertising trackers.
How we use it
- To show each tech their route, save their water tests, and suggest doses.
- If the company turns it on: to add chemicals to the Jobber visit or job at the company's prices, add a note with the report link to the Jobber job, and mark the Jobber visit complete.
- To email homeowners their service report under the pool company's name (replies go to the company), and to email the owner a daily problem-pool summary if they leave it on.
- To bill the subscription and answer support requests.
We don't sell anyone's data, use it for advertising, or email homeowners anything except the reports their pool company sends.
Who we share it with
Only the services we need to run PoolChem Log, each under its own privacy terms:
- Netlify (hosting and file storage for photos, logos and report PDFs), Neon (database).
- Resend (sending sign-in links, reports and alert emails), Stripe (subscription payments).
- Sentry (error reports, with personal data removed), when error reporting is switched on.
- Jobber, when PoolChem Log reads from or writes to the company's Jobber account as described above.
- Anyone the law requires us to share with.
Report links
Each homeowner report has its own long, random link. Anyone who has the link can open that one report (like a shared document link); it shows nothing else. Report pages are hidden from search engines. The pool company can ask us to take a report down.
How long we keep it
- While the company uses PoolChem Log (including a free trial or a lapsed subscription), we keep its records so it can look back at past visits and pool history. We never delete records because a trial ended or a payment failed.
- When the company disconnects PoolChem Log from Jobber (from our Settings page or Jobber's App Marketplace), we delete its Jobber sign-in tokens straight away and stop reading from or writing to Jobber. The records already in PoolChem Log stay, so the team can still see past visits and homeowners' report links keep working, until the company asks us to delete them.
- Deletion: email us from the account owner's address and we'll delete the company's account and everything in it (pools, logs, readings, photos, reports, team logins, cached Jobber data) within 30 days. Report links stop working. We keep only what the law requires (for example billing records in Stripe).
- Technical logs are kept for a short time (days to weeks) by our hosting provider.
Security
Jobber sign-in tokens are encrypted. Everything is sent over HTTPS. Each company can only see its own data, and each tech only their own route. See our security page.
Your choices
- Disconnect Jobber anytime from Settings or from Jobber's App Marketplace.
- Turn homeowner reports off for the whole company or per client, and turn the daily alert email off.
- Ask for a copy of your data, a correction, or deletion by emailing hello@goldstandardweb.com.
Children
PoolChem Log is for businesses and isn't meant for children.
